The Position:

The Programme Assistant post is located in the UNFPA BiH Country Office in Sarajevo- field office Bihac. Under the direct guidance and supervision of the GBViE Project Manager, the Programme Assistant assists in implementation of UNFPA Country Programme related to the GBV prevention and response in the mixed-migration context in BiH. The Programme Assistant is a part of team, which provides integrated programme and operational support within a system strengthening approach fundamental to UNFPA’s overall strategy. The Programme Assistant works in close collaboration with the Administrative/Financial, Programme and Project staff to exchange information and ensure consistent service delivery.

Job Purpose:

Programme Assistant supports timely and proper implementation of the humanitarian programme by providing logistical, administrative, secretarial and financial support. You will promote a client, quality and results-oriented approach and work in close collaboration with the Operations and Programme staff in the Country Office.

 

You would be responsible for:

Supporting timely and proper implementation of the humanitarian GBV prevention and response programme in Bosnia and Herzegovina;;

Undertaking logistical, administrative, secretarial and financial arrangements for meetings, workshops, trainings and other program events;;

Supporting review of technical and financial reports for accuracy and consistency and supporting the financial monitoring of funds utilization. Supports preparation of statistical charts, tables and reports relevant to programme components.

Preparing information and/or briefs, summaries and background documentation required by missions and special meetings; prepare PowerPoint and other presentations, including computer generated visuals such as graphs;

Providing inputs for various UNFPA, partner and donor reporting mechanisms;Assisting day-to-day communication with partners, staff and CO staff; 

Making travel arrangements of the development team for missions;

Supporting logistics arrangements of programme staff; such as Travel Authorization, ticket & accommodation booking;

Raising requisitions in Quantum.

Assist the GBViE Project Manager in preparation of ToRs and related documents for the procurement or consultancies processes.

Supports transition and initiatives aimed at capacity building of relevant actors through planning, designing and implementation of training packages that will empower professionals to deliver quality services;

Conducting pre-payment review and compilation of PO and non-PO documents of programme related activities, travel and other services. Preparing payment requests and supporting documents for payments. 

Taking minutes as required; prepares reports and informal translations and may act as interpreter, if required; 

Maintaining an office e-filing system and assist in archiving, and maintain up-to-date electronic mailing lists;

Performing any other duties, as may be required by the team.

 

Qualifications and Experience: 

 

Education:  

Completed Secondary Level Education required. First level university degree Social Sciences, Business or Public Administration, Economics, Political Sciences or other related field desirable.

 

Knowledge and Experience: 

Minimum of five (5) years of relevant experience in administrative work or programme support functions.

Proficiency in current Microsoft Office applications (especially Microsoft Excel and Word).

Experience in using ERP system (e.g. PeopleSoft, Oracle, SAP) or similar computerized applications.

Experience in travel and event management is an asset. 

Knowledge of population and/or gender is an asset. 

Familiarity with UN procedures and working methods is an asset. 

Working experience with an international organization is an asset.

 

Languages: 

Fluency in both written and spoken English and Bosnian is required.
